Get to know CivAll Social

CivAll Social is organized into a handful of tools, each handling one part of your social media workflow. This article is a quick tour of what each one does and how to shape your own custom views so you see just what matters to you.

Welcome to CivAll Social

CivAll Social is a social media management platform built for local government communicators. It brings publishing, approvals, inbox engagement, feeds, and analytics into one workspace designed around the realities of public-sector communications.

Alt text and AI descriptions

Alt text describes an image for people using screen readers. CivAll writes a first draft for you the moment you upload, so the normal state of a post is described rather than blank — and you always have the last word on the wording.

Cloning posts & retrying failures

Two closely related actions live in the overflow menu of any post row: Clone post , for sending something again, and Edit & retry , for rescuing a post that didn’t make it out.

Collaborate with your team in CivAll Social

Give a post an internal name, share a draft so teammates can take turns editing it, hold a place on the Planner with a dated draft, and leave team-only notes on a post. None of it is ever published.

Feed, Story, or Both

Facebook and Instagram posts can go out as a normal feed post, as a Story, or as both at once. The choice lives in Network options , on each of those networks’ rows.

Link in Bio pages

Give an Instagram account a public Link in Bio page with your posts, buttons, and colors, then paste its address into your Instagram bio so followers can reach the links in your posts.

Optimizing images per network

Every network wants a different shape. Rather than letting each one crop your flyer however it likes, CivAll spots an image that won’t fit and offers to fix it — but never changes your picture unless you say so.

Post failed: Facebook is asking for an identity check

Facebook has put an identity check on this Page or profile. Publishing stays blocked until someone completes it on Facebook itself. Reconnecting the account in CivAll does not clear it.

Post failed: the account is missing a permission

A post can fail because the connected account is missing a role or permission the network requires in order to publish. The connection itself is fine. Reconnecting helps only when the person signing in holds the role that is missing.

Post failed: the account needs to be reconnected

A post can fail because the connection between CivAll and the social account is no longer valid. The network will not accept posts on that account's behalf until someone signs in again. Reconnecting the account fixes it.

Post failed: the network is limiting how often you can publish

The network refused this post because the account has published too much in too short a time. Nothing is wrong with the post itself. Every network sets its own limit and its own reset, so the wait depends on where you were publishing.

Post history

Post history is the complete record of everything sent from your organization’s accounts. Reach it from View all posts → at the bottom of the Publish dashboard.

Publishing failed: the network flagged the post as spam

The post did not go out because the network's automated review flagged it. This is a machine decision made by the network, not a review of your agency. Waiting a while and changing the wording or the media usually clears it.

Publishing failed: the network rejected the post

The network received the post and refused it for a specific reason that is not spam. The two common causes are a tagged or collaborating account that does not accept invites, and a post built in a way the network does not support. Both are fixed by editing the post and publishing again.

Scheduled comments & shares

Attach a comment that posts automatically after your post goes live, or schedule a share of the post.

Scheduling and recurring posts

Schedule a post for a specific time, or set up a recurring series that publishes on a repeating pattern.

The composer & publishing options

The composer is where you write a post, choose which accounts it goes to, and decide what happens next. This article walks through it from top to bottom.

The Publish dashboard

Publish opens on a dashboard rather than a blank composer. It answers the two questions you actually arrive with — what was I working on? and did my posts go out? — and gives you four ways to start a new one.

Using the queue

The queue is a holding area for finished posts that don’t yet have a time on the calendar — evergreen reminders, batch-written content, or anything you want to place later. Your organization has one shared queue.

When a post fails because the photo or video was rejected

The network turned down the photo or video on this post, or a detail attached to it. The post did not go out. Adjusting the file or the details and publishing again is normally all it takes.

When a post is Unconfirmed

The network stopped responding partway through publishing, so CivAll cannot tell whether the post went out. Check the account on the network before you publish again. Publishing again is how the same post ends up on your page twice.

Working with templates

Templates save a reusable starting point — content, media, account selection, and fill-in placeholders — for posts you send often, like road closures, event promos, or weekly safety tips.

Working with video

Video attachments show their first frame so you can tell at a glance which clip is on the post, and open in a player so you can check it before it goes out.

Planner views overview

The Planner is your content calendar — a single place to see what’s scheduled, reschedule it, and create new posts without leaving the page.

Previewing posts per network

Click a scheduled post on the calendar to see exactly how it will render on each network it targets, one tab per platform.

Rescheduling with drag and drop

Move a post to a different day by dragging its card. It’s the fastest way to shuffle your calendar, and it won’t disrupt an already-approved post.

Saved and shared views

Save how you set up the Planner, Inbox, Approvals, Feeds, and Analytics as named views, switch between them in one click, and share a view with everyone in your organization.

Scheduling from the queue

Move a post out of the queue and onto the calendar in one of two ways — by dragging it, or with the card’s Schedule post button.

The Planner mini composer

The mini composer is a panel on the right of the Planner that lets you write and edit posts side by side with the calendar — the same composer engine, in a narrower layout.

Approving and editing posts

If you’re in an approver pool, you’ll be notified when a post needs review. Here’s how to act on it.

How approvals work

CivAll’s approval model is deliberately simple: one approval level and a pool of approvers, any one of whom can clear a post. Being an approver is itself the bypass.

Setting up an approval workflow

A workflow is small by design: it turns on approval for a chosen set of accounts and names the people who can approve. Configuring one requires the manage-approval-workflows permission.

What happens to posts in approval

This article follows a post from the publisher’s side: what happens when you submit something that needs approval, and what becomes of it after sign-off.

Connecting a social account

Onboarding brings a social account into CivAll and assigns it to the right departments, so your team can start publishing and monitoring it right away. A guided wizard walks you through it.

Reattaching accounts & why they detach

Sometimes a connected account stops working because its authorization to the platform broke — it’s “detached.” Reconnecting (reattaching) restores it. This article explains why it happens and how to fix it.

Hiding comments

Hide a comment from public view on the network without deleting it, and unhide it later if you change your mind. You hide comments one at a time from the Inbox.

Item vs. threaded views

The Inbox brings comments, mentions, and direct messages from all your connected accounts into one place. You can read a post’s activity two ways — as individual items or as a threaded conversation.

Replying, moderating & assigning

From a conversation you can reply, moderate comments, and assign the conversation to a teammate. Which actions you see depends on your permissions and the network.

Sentiment analysis

Sentiment analysis scores the tone of incoming messages so you can spot what needs attention. It’s a paid upgrade enabled per organization, and it’s purely descriptive — it never routes, assigns, or changes a message’s status.

Working the Inbox as a team

Assign conversations to teammates, mark them Open, Closed or Muted, see who has done what in each conversation, and save filtered Inbox views you can share with your team.

Adding RSS feeds

Bring headlines and articles from any RSS source into a feed — useful for tracking local news, weather alerts, or partner agencies.

Feeds: owned, public & layouts

Feeds let you monitor content sources — your own accounts, public and discovery sources, and RSS — all on one board, in whichever layout suits the moment.

Post detail and comments

Open any feed post to read it in full and see its comments in a detail view.

Sharing content from a feed

You can reshare a Facebook post from a feed directly to a Facebook page you own.

Why some filters don’t apply

A global keyword search or a longer time range applies to most of your feeds — but not all of them. If a filter seems to skip a feed, it’s usually because CivAll doesn’t store that source’s data.

Creating a report

Reports are saved, named objects you can revisit, duplicate, and share. Creating one starts by choosing a starting point.

Scheduling report emails

A Custom Report can email itself to a list of recipients on a recurring schedule — so leadership gets the numbers without logging in. This is currently the only report type that supports scheduled email delivery.

The Analytics home screen

Analytics opens on a home screen that lets you open Post Analytics, start a new report, jump back into a recent one, and see how your accounts are doing without building anything at all.

The Custom Report

The Custom Report — formerly the Social Summary Report — is a polished, shareable performance summary — the kind of thing you hand to a council or drop into a board packet. It’s built from components you can add, configure, and reorder, and it exports to PDF or emails itself on a schedule.
