From Archive → Archives, select an archive. It opens in Search, filtered to that account: one row per captured item, newest first. Search covers the past 30 days until you widen the date range.
The columns
| Column | What it shows |
|---|---|
| Date | When it was published on the network |
| Account / Author | Who posted it — your account, or the member of the public who commented |
| Type | The kind of record |
| Post | A preview of the captured content, with a Deleted badge if it is no longer live on the network |
Use the Type filter to narrow to a particular kind of record — posts, comments, messages, stories, and so on.
State is what matters
A record's state compares the archive against the live network, and it is the reason the archive exists:
- Present — still live on the network.
- Deleted — no longer on the network. CivAll Archive keeps the captured copy. If it was later restored, the badge reads Deleted (restored).
- Expired — a story that has aged past its 24-hour life on the network. Nothing went wrong; stories simply expire, and the archived copy remains.
Search results flag deleted records only. An archive's name in the Audit Log's Entity column opens that archive's plain records list, which shows all three in a State column.
Tip
Setting the Deleted filter to Only deleted is the fastest way to answer "what did we take down, and when" — the question a records request or a press inquiry usually turns on.
Opening a record
Selecting a record opens its detail view, with the full captured content, its capture and publication timestamps, and an Evidence view listing every captured version. A deleted record says when the deletion was detected. From here you can choose Add to case, which is how you group records for a request — see Building a case.
What you cannot do
Records cannot be edited or deleted from the archive by hand. That is the point: an archive whose contents can be quietly changed is not evidence of anything. Removal happens only through your agency's configured retention policy, and legal hold suspends even that.
