Create a workflow
- On the Approvals screen, click New approval template (or open Approval Settings and click New template), and give the template a name.
- Leave Workflow enabled on — it’s on by default. (When it’s off, or the approver pool is empty, the account behaves as if it has no workflow — direct publishing.)
- Under Assign to accounts, select the accounts this workflow covers. Workflows are always tied to specific accounts — nothing is applied org-wide automatically. An account can be on only one template at a time; selecting one that’s already on another template moves it to this one.
- Under Approvers, add people to the pool. Any one of them can clear a post.
- Click Save template.
Who can be an approver
The approver picker only lists people who already hold the Approve Posts or Manage Approval Workflows permission. Adding someone to the pool doesn’t give them that permission — grant it in Users first.
Tip
If someone already in the pool later loses that permission, the picker flags them as “No longer has approve permission” rather than silently dropping them.
About “who can publish without approval”
There is no exempt list to maintain. The only ways to publish without waiting are (1) being an approver on the account who can also publish to it, or (2) the account having no active workflow. Both publish directly.
