A saved view remembers how you set up a tool, such as its filters and layout. Each tool keeps its own list of views, and you can have as many as you need. For example, keep one Planner view for your department’s accounts and another for the whole organization.
Find your views
Each tool’s view menu sits in the top bar, next to the tool’s name. Click it to switch views, search them, or start a new one.
The first time you open a tool, CivAll Social makes a view for you:
| Tool | Your first view | New views start as |
|---|---|---|
| Planner | All Posts | View 2, View 3, and so on |
| Inbox | All Threads | View 2, View 3, and so on |
| Approvals | All Approvals | View 2, View 3, and so on |
| Feeds | My Feeds | Feed 2, Feed 3, and so on |
| Analytics | Post Analytics | See Analytics reports below |
The Planner, Inbox, Approvals, and Feeds each open on the view you used last in that browser.
Create a view
- Open the view menu and choose New Planner View, New Inbox View, New Approvals View, or New Feed View.
- Set up the view. Your changes save to the view as you make them. There is no Save button.
What each view remembers:
| Tool | Saved with the view |
|---|---|
| Planner | Month, Week, or List; the accounts you picked; Post Type; Labels; Assigned; and the view options under Planner Settings, such as Show media |
| Inbox | The accounts you picked; Read; State; Assigned; Content Type; Sentiment (where your organization has it); and By item or By thread |
| Approvals | The accounts you picked; Status; Author |
| Feeds | The feeds in the view; the layout (Columns, Grid, or Waterfall); and the sort order |
In Feeds, the Period, Platform, and Labels filters and the search box are not saved with the view.
Rename or delete a view
Hover over a view in the menu to see its icons. On a phone, the icons are always shown.
- Rename: Click the pencil, type the new name, and press Enter.
- Delete: Click the trash icon. In the Planner, Inbox, Approvals, and Feeds its label reads Close.
Warning
On a view you have not shared, the trash icon deletes the view permanently. CivAll doesn’t ask you to confirm, and you can’t undo it.
The trash icon doesn’t appear when a tool has only one view left.
Analytics reports
In Analytics, the menu lists reports instead of views. It also holds Dashboard and All reports, plus your most recent reports. To start one, choose New report. See Creating a report.
A few things work differently here:
- Post Analytics, your first report, saves its filters as you change them.
- Any other Post Analytics report waits for you to save. After you change a filter, the bar shows Unsaved filters with Discard, Save as new view, and Save. The report menu offers Save to current view and Save as new view too.
- A Custom Report saves as you edit it.
- Hover over a report in the menu to Rename, Duplicate, or Delete it. A duplicate gets the same name with “(copy)” added.
Share a view
You can share any view or report you created.
- Open the view.
- Click Share in the bar below the top bar.
- Turn on Share with everyone.
Everyone in your organization can now open the view, but only you can change it. Sharing a view doesn’t give anyone access to accounts they can’t already see.
In your view menu, a shared view has a small share icon next to its name. To stop sharing, turn Share with everyone off. The view then disappears from your teammates’ menus.
Note
On a phone, the Planner doesn’t show the Share button. Use a computer to share a Planner view.
Open a view a teammate shared
- Open the tool’s view menu.
- Look under Shared with me. Each view shows the name of the person who shared it.
- Click a view to open it.
A shared view is read-only for you. The bar shows “Shared by” with the creator’s name and “read-only.” When the creator changes the view, you see their changes.
- Planner, Inbox, and Approvals: You can change the filters while you look. Your changes are not saved to the view.
- Feeds: You can’t add feeds or change the layout.
- Analytics: In a Post Analytics report, you can change the filters and click Save as new view to keep your own copy. A Custom Report can’t be changed.
To take a shared view out of your list, click its trash icon. This affects only you. The view stays under Shared with me, and you can open it again later.
Delete a view you shared
- Hover over the view in the menu and click the trash icon.
- In the Delete shared view dialog, click Delete for everyone.
The view is removed for everyone who has it open. This can’t be undone.
