A workflow is a pool of approvers on one or more accounts. Any one approver’s sign-off clears a post. Approvers who can publish to the account publish their own posts directly, and anyone else’s post waits as Pending until an approver signs off and chooses to publish now or schedule it.
Watch: approvals
A short walkthrough of approvals in CivAll. You can also watch it on YouTube.
The lifecycle of a post
| Status | What it means |
|---|---|
| Draft | Being written; not submitted. |
| Pending | Submitted and waiting for an approver. |
| Scheduled | Cleared and set to publish at a future time. |
| Published | Live. |
When someone submits a post, one of three things happens on each account:
- No workflow on that account → it publishes directly (anyone with publish rights).
- The submitter is an approver on that account and can publish to it → it publishes directly — this is the bypass.
- Otherwise → it becomes Pending and needs one approver’s sign-off.
Tip
There’s no separate “Approved” holding status. When an approver signs off, that action is the release — the post goes straight to Published or Scheduled.
Warning
If an account has no active workflow, anyone with publish rights publishes to it directly with no review. That’s intentional — set up a workflow on any account where you want a review step.
